Inbox & receipt matching

Receipts find the transaction.

Forward receipts, upload files or pull documents from a connected inbox. Worklyn reads the details, finds the transaction they belong to and leaves uncertain matches ready for review.

No folders to clean up at the end of the month.

The problem

The receipt exists. Finding it later is the problem.

Receipts arrive by email, download, screenshot and PDF. By the time you need one, the transaction is weeks old and the document is buried somewhere else.

Worklyn collects the documents as they arrive and keeps them close to the money they explain.

Collect to review

From document to matched record.

01 · COLLECTOne inbox for the paperwork behind your spending.
01Personal inbox address

Forward a receipt or invoice to your own Worklyn address.

02Connected email

Pull financial documents from a connected Gmail or Outlook account, read only.

03Upload

Add PDFs or images from your device.

02 · READWorklyn reads the receipt for you.

A document should not become another form to fill in. Worklyn extracts the details it needs to understand the record and find the transaction behind it.

01Merchant

Who the money went to.

02Amount

The total, including tax.

03Date

When the purchase happened.

04Currency

What it was paid in.

05Tax

Amount, rate and label, as printed.

06Invoice or receipt number

The reference on the document.

The original document stays attached, so the extracted data can always be checked against the source.

03 · MATCHThe document should find the transaction.

Worklyn compares the document with your transaction history and looks for the record that fits.

Amount · Date · Merchant · Currency · Invoice or receipt number

01A likely match

When one transaction clearly fits, Worklyn puts it forward as the suggested match, ready to confirm.

02No confident match

When nothing clears the bar, the receipt waits in the inbox for you to search and confirm by hand.

Worklyn suggests the match. You confirm it. Nothing is attached behind your back.

04 · REVIEWOnly stop for the ones that need you.

Documents that are ready move on quickly. Missing information and uncertain matches stay in the inbox until you review them.

Receipt attached. Transaction complete.

The other side

Worklyn can see the other side too.

Receipt matching does not only start when a document arrives. Worklyn can also surface transactions that should have a supporting document but do not have one yet.

01Receipt attached

Complete.

02Receipt missing

Needs a document.

03Document waiting

Needs a transaction.

Context

The match carries the business context with it.

Once a receipt is connected to a transaction, the transaction can stay tied to the project behind the expense, so the same cost updates the project margin without being entered again.

After the match

A matched receipt becomes part of the transaction record.

Once the document and transaction are connected, the match moves into the reconciliation workflow with the supporting document already attached.

Toward the books

No receipt hunt before the accountant handoff.

Inbox keeps supporting documents attached while the business runs, and pre-accounting shows which records are complete and what is ready to export.

Your address

Forward it and forget the filing.

Give your receipts and supplier invoices their own Worklyn address, then forward the email you already received and let Worklyn take it from there.

Or connect Gmail or Outlook with read-only access and let Worklyn find financial documents there.

Connecting an inbox is optional. Forwarding and uploads work without giving Worklyn access to your email.

CFO Mode

CFO Mode notices what is still missing.

CFO Mode can surface missing receipts, documents still waiting for a transaction and records that need review.

CFO Mode is on paid plans.

The original

The original document stays with the record.

Every document you forward, upload or pull from a connected inbox is stored in Worklyn's file storage under your workspace. It stays attached to the inbox item and, once matched, to the transaction record, so it can be reopened from either place without uploading it again.

Viewing or downloading a document requires being signed in to the workspace it belongs to.

FAQ

Inbox questions, answered.

Forward them to your personal Worklyn inbox address, connect Gmail or Outlook to pull financial documents automatically, or upload files directly.

Merchant, amount, date, currency, tax detail and the invoice or receipt number. The original document stays attached, so anything extracted can be checked against the source.

No. Worklyn suggests a match when one transaction clearly fits, and you confirm it with one click. Nothing is attached to a transaction until you approve it.

The receipt stays in the inbox marked no match yet. You can search for the right transaction by hand or leave it until one shows up in a later bank sync or import.

No. Connecting an inbox is optional. Forwarding a receipt or uploading a file works on its own, without giving Worklyn any access to your email.

Read-only. Gmail is connected with the gmail.readonly scope and Outlook with Mail.Read, so Worklyn can find financial documents but cannot send, delete or modify anything in your mailbox.

Receipt capture and matching are part of the Pro plan. Every new workspace starts with a 30-day Pro trial with no card required, so you can use the inbox from day one; documents forwarded on a free workspace are kept and processed once you upgrade.

On paid plans, an email-sourced document that reads as a job or project offer is classified and its terms are extracted separately, so it does not get treated as a receipt. Files you upload directly are always read as receipts.

Only through the project. A transaction can stay tied to the project it was spent on, and that cost counts toward the project's margin. Client is a separate field on the expense and does not drive client profitability.

Stop saving receipts for later.

Send them to Worklyn while they are fresh and let Worklyn connect them to the right transaction.
