Invoicing & payments

Bill the work. Skip the awkward chase.

Create invoices from accepted proposals, signed contracts or tracked time. Let clients pay from one link, then match the payment when it reaches your bank.

The gap

The most expensive invoice is the one you never sent.

Finished work should not turn into another admin task. When the proposal, contract and tracked hours are already in Worklyn, the invoice can start with the right client, scope and line items already in place.

And if billable time has not made it onto an invoice yet, Worklyn keeps it visible.

Create to reconcile

From finished work to reconciled payment.

01 · CREATEStart from the work already done.

Create a draft from an accepted proposal, a signed contract or tracked project hours. Client details, line items, rates, taxes and currency come with it.

01From proposal or contract

Carry the agreed pricing and scope into the invoice draft.

02From tracked time

Turn billable entries into line items without rebuilding the week.

03Catch what was missed

CFO Mode can surface tracked work that has not been invoiced yet.

Consulting · 4 h @ €120/h€480.00

Tracked time consolidates into one line per hourly rate, not a line per task.

02 · SENDOne link for the invoice and the payment.

Send a public invoice link with no client account required.

01Pay their way

Card payments run through your own connected Stripe account, alongside any other method you have enabled there. Bank transfers go straight to the details printed on the invoice.

02Multi-currency

Invoice in 56 currencies, with amounts converted to your base currency for reporting.

03Know where it stands

Follow the invoice through Draft, Sent, Viewed and Paid.

A bank-transfer profile prints your account details on the document instead of the pay button.

03 · RECONCILEWhen the money lands, close the loop.

Worklyn sees incoming transactions from your read-only bank feed and suggests the open invoice they belong to. Review the match and reconcile the payment without rebuilding the record by hand.

01Match the payment

Suggested matches connect incoming bank transactions to open invoices. You confirm before anything changes.

02Handle late invoices

CFO Mode can prepare a reminder based on how overdue the invoice is, the amount, the original due date and whether this client is usually late.

03Keep the record complete

Once reconciled, the invoice, payment and bank transaction stay connected for reporting and pre-accounting.

Payment matching needs a connected bank account, which is on paid plans.

The ledger keeps the score: outstanding, overdue and paid, across every invoice.

Reminders wait for your approval by default. Nothing goes out until you review it and press send.

What it costs

Know what it costs to get paid.

Payments run through your own Stripe account, and bank transfers go directly to your bank. Worklyn never holds your money.

Worklyn's collection fee is 1.5% on Free, 0.5% on Pro and 0% on Business, taken out of your payout rather than added to your client's total. Stripe's own processing fees still apply.

After paid

Paid is not the end of the record.

Once an invoice is paid, Worklyn can suggest the bank transaction that settles it, keep the supporting records together and include the reconciled entry in your accounting export.

01Invoice

What you charged.

02Payment

What the client paid.

03Reconciliation

The bank record that confirms it.

No separate month-end cleanup just to work out what was paid.

The invoice is part of the business record.

It can start with the pricing you proposed, the terms you signed or the time you tracked. When it gets paid, the bank transaction completes the same record.

FAQ

Invoicing questions, answered.

Clients get one public link and do not need an account. Card payments run through your own connected Stripe account, along with any other method you have enabled there, and bank transfers go directly to the bank details printed on the invoice.

No. Card payments are charged directly on your own Stripe account and land there, and bank transfers never touch Worklyn at all. Worklyn uses read-only bank data to help match and reconcile the payment.

Yes. An accepted proposal or signed contract can become an invoice draft with the client, pricing and line items already in place, and you can also invoice billable time recorded on a project. You review the draft before sending it.

CFO Mode can prepare a reminder based on how overdue the invoice is, the amount, the original due date and whether that client usually pays late. By default nothing is sent until you review it and press send, and you would have to switch reminders to automatic yourself for that to change. A simple manual reminder is available on every plan.

A card payment marks it paid automatically. With a connected bank account, Worklyn can also suggest a match between an incoming transaction and an open invoice, and once you confirm it the payment and invoice stay connected as part of the reconciled record.

Yes. Worklyn supports 56 currencies, and amounts are converted to your base currency so reporting still adds up.

Invoicing is unlimited on every plan. Worklyn's collection fee is 1.5% on Free, 0.5% on Pro and 0% on Business. Stripe processing fees apply separately.

Mark it paid. Enjoy the confetti.

Send the invoice, get paid and let Worklyn keep the record connected.
